All Sports 4 Kids ("we", "us", "our") provides children's swimming lessons, football coaching and holiday camps in Hertfordshire, United Kingdom. We are the data controller for the personal information described in this policy.

We collect information you provide when you enquire, register or book an activity, including: parent or guardian name, child's name and date of birth, contact telephone number, email address, emergency contact details, medical information or additional needs relevant to your child's safe participation, and details of the activities booked.
When you contact us by email, telephone or through a form on this website, we collect the information contained in that communication.
Our website may also collect limited technical information such as pages visited and general usage data, used to keep the website working correctly and to improve it.
3. How We Use Your Information
We use personal information to: deliver our swimming lessons, football coaching and holiday camps safely; manage bookings, registers, payments and refunds; contact you about your child's sessions, including changes and cancellations; respond to enquiries; meet our safeguarding, health and safety and insurance obligations; and, where you have agreed, send you occasional information about our activities.
Our lawful bases for processing are: performance of a contract (delivering the activities you have booked), legitimate interests (running and improving our business and responding to enquiries), legal obligation (safeguarding, health and safety and financial records), and consent (marketing communications and, where relevant, photography).
Medical and additional needs information is treated as special category data and is used only to keep your child safe during activities.
4. Booking Platforms and Service Providers
Swimming lessons are managed through ClassBase, and football coaching and holiday camps are managed through Pembee. When you register or book through those platforms, your information is processed by them in accordance with their own privacy policies as well as this one.
We also use trusted service providers for functions such as email, payments and website hosting. These providers only process personal data on our instructions.
5. Sharing Your Information
We do not sell your personal information. We share it only where necessary: with our coaching staff so they can deliver sessions safely; with our booking platforms and service providers; with venues where required for access or safety; with emergency services or medical professionals in the event of an incident; with safeguarding authorities where we have a legal or safeguarding duty; and with our insurers or professional advisers where necessary.
6. Photography and Video
We sometimes take photographs or video at sessions and camps. We will always ask for consent before doing so, and you may withdraw that consent at any time by contacting us. Children whose parents have not given consent will not be photographed for promotional use.
7. How Long We Keep Information
We keep personal information only for as long as necessary. Booking and participation records are generally retained for the duration of your relationship with us and for a reasonable period afterwards to meet legal, insurance, accounting and safeguarding requirements. Enquiry records are kept for a shorter period where no booking is made.
8. Keeping Your Data Secure
We take appropriate technical and organisational measures to protect personal information against loss, misuse and unauthorised access. Access to personal data is limited to staff who need it to carry out their role, and all staff are DBS checked and briefed on their confidentiality responsibilities.
9. Cookies and Website Data
This website uses only the cookies and similar technologies necessary for it to function correctly and, where used, to understand how the site is being used. You can control cookies through your browser settings. Third party booking platforms may set their own cookies when you visit them.
10. Your Rights
Under UK data protection law you have the right to: request access to the personal information we hold about you; ask us to correct inaccurate information; ask us to erase information where there is no continuing reason for us to hold it; object to or request restriction of processing; request portability of information you provided to us; and withdraw consent where processing is based on consent.

11. Children's Privacy
Information about children is provided by a parent or guardian. We only collect the information needed to deliver activities safely, and we do not market directly to children.
